We are looking for a skilled Administrative Coordinator to join our team and take responsibility for managing and overseeing all invoicing processes related to shipping operations. The ideal candidate will ensure that invoices are prepared accurately and on time, resolve billing discrepancies, and collaborate with internal teams, including operations, and agents/suppliers to streamline invoicing activities.

Key Responsibilities:

  • Invoicing:Verify and check Disbursement Accounts received from agents. Prepare and issue accurate invoices for port services, including freight, handling, and other related charges. Ensure timely distribution of invoices to customers in line with contract terms and agreements. Verify data for accuracy and consistency, including shipment details, rates, and applicable surcharges. Maintain organized records of all invoices, shipping documents, and customer correspondence. Ensure all documentation complies with legal and regulatory standards.
  • Communication:Serve as a point of contact for internal and external communications.
  • Coordination:Work closely with operations teams to verify shipping details and ensure accurate invoicing. Coordinate the invoicing team, allocate tasks, prioritize work, and ensure deadlines are met.


Requisitos

Requirements:

  • High school diploma or equivalent required; Associate’s or Bachelor’s degree in Business Administration, Office Management, or a related field preferred.
  • Minimum of 5 years of experience in an administrative or office support role.
  • Experience in project coordination or office management is a plus.
  • Strong organizational and time management skills.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to handle multiple tasks and prioritize effectively.
  • Attention to detail and accuracy in work.
  • Ability to work independently and as part of a team.
